Who is CafeOps for?

How much does it cost?

Standard is £19 per site per month or £190 per year. The first 100 cafés can join as a Founding Café at £10 per month or £99 per year, and keep that price for as long as their subscription stays active.

Is there a free trial?

Yes. Every plan starts with a 30-day free trial. You add a card at sign-up and your first payment is taken after the trial. Cancel before then and you pay nothing.

I run more than one café. How does pricing work?

Your first site is full price and each additional site on the same account is half price.

Can I cancel at any time?

Yes. No contract and no cancellation fees. Cancel from your account settings and you keep access until the end of the period you have paid for.

Do I keep my records if I cancel?

Yes. You can export your temperature logs, cleaning logs, daily checks, allergen matrix, rotas and saved staff contracts and policies before and after cancelling.

Are food hygiene certificates included?

No. Food hygiene certificate training is provided by Virtual College and paid for separately at their standard course price. CafeOps links to it from the app. Staff can pay for their own certificate, which they keep, or the café can pay for its team.

Where is my data kept?

Your records are stored securely and are always available, ready to show an inspector. You also get free updates and new features as we add them.

How accurate is the AI allergen matrix?

AI gives you a fast first draft, but allergen errors carry legal risk, so a manager must review and approve every matrix, recording their name and the date. If a menu item or recipe changes, CafeOps warns you and the matrix must be approved again before it can be printed or shared.

What happens to Founding Café pricing if I cancel?

Founding pricing lasts while your subscription stays active. If you cancel and later re-subscribe, you join at the Standard price. The Founding offer closes after 100 cafés or on 31 January 2027, whichever comes first.
